Year 2: Scaling, Leading a Team & Optimizing Efficiency
With the success of the first summit, Year 2 was all about taking it to the next level, meaning bigger attendance, greater efficiency, and a stronger overall experience. Unlike Year 1, where I handled everything myself, this time, I led a team and created a scalable system that allowed us to execute at a higher level.
The planning process was much more structured. I applied what I had learned about logistics and forecasting, using past data and attendee demographics to make smarter decisions about food orders, seating arrangements, and event materials. Instead of reacting to last-minute challenges, I had preemptive strategies in place to ensure everything ran smoothly. This time, I had a team working with me, which required delegation and leadership. I assigned responsibilities to different team members, from scheduling and vendor coordination to hospitality management, ensuring that every aspect of the event was handled efficiently.
One of the key changes I implemented was a morning coordination meeting before the event. This helped align the team, clarify responsibilities, and ensure everyone focused on their role. It created a sense of motivation and ensured that we operated like a well-organized unit throughout the day. I also continued with the same theme, aesthetic, and branding of the event from the previous year, ensuring that flowers, banners, and marketing materials were color-matched and aligned with the summit’s branding for a professional and cohesive look. The hospitality experience was also elevated, with a more structured approach to guest and speaker services, ensuring VIPs had an exceptional experience from start to finish.
On the day of the event, my role shifted from doing everything myself to overseeing execution and problem-solving in real-time. With a team in place, I was able to step back and manage operations at a higher level, ensuring everything stayed on track and that any last-minute adjustments were handled seamlessly. The success of Year 2 proved not only that the event had grown in scale and impact but also that my ability to lead, delegate, and refine had taken a huge step forward.
